Party Time!

General Reservation Information

• Party spaces at RVA (including pool pavilion, tennis courts, tennis pavilion, playground, and parking lot area) are available for rental on a first-come, first-served basis.
• All reservations must be submitted and approved online with the RVA Administrator.
• Party reservations must be made by an RVA member in good standing, who will be responsible for all aspects of the event.
• There will be no more than one party reservation at a time.

Pool Pavilion Parties (During Pool Season)

• Available during regular pool hours but subject to excluded days and times.
• Approval is based on lifeguard availability.
• Party duration is limited to 2 hours 
• A party is defined as a pre-planned gathering of 10 or more Members or Non-Members, swimming or not swimming, that seeks to make exclusive or reserved use of RVA space. Party size is limited to 20 attendees including swimmers, non-swimmers, and chaperones or parents.
• Party Hosts must read all Pavilion Rental and Party Rules.

Pool Party Schedule Restrictions

Parties are prohibited during these times to prevent overcrowding:

• Thursdays after 6 pm
• Fridays after 4 pm
• Saturdays and Sundays after 1 pm
• Holiday weekends
• RVA special event days and times (such as Opening Day, Swim and Dive Meets and practices)

Pool Party Reservation Process

• Review the Party Policy and email the RVA Administrator.
• Approval is subject to Pool Manager approval and staffing requirements.
• If approved, the party fee and security deposit must be paid to hold the date.
• A two-week notice is required for all parties to establish adequate lifeguard staffing.
• There must be 1 hour between parties.

Pool Party Fees and Deposits

• Party fee: $300
• Security deposit: $250. Security deposit will be credited back to your credit card within two weeks if all requirements have been met.To have the security deposit returned in full, the Party Host must:
  • Adhere to the number of guests indicated on the Party Reservation
  • Have all non-member guests leave at the allotted end time of the party
  • Remove all decorations including tape and string
• Both fees are due 2 weeks prior to the reservation date.

Off-Season Parties (Tennis Courts, Tennis Pavilion, Playground, Parking Lot, etc.)

• Available for rental during the off-season when the pool is closed.
• Rental fee is the same as pool pavilion rental ($300).
• Security deposit of $250 is required (refundable within two weeks if all requirements are met).
• Party duration is limited to 2 hours and up to 40 attendees.
• No access to the area inside the pool gate is available for off-season parties, including the pavilion restrooms.
• Restrooms are limited to the porta-potty only during off-season.
• There will not be staff on site to troubleshoot during off-season events.

Off-Season Party Reservation Process

• Review the Party Policy and email the RVA Administrator.
• If approved, the party fee and security deposit must be paid to hold the date.
• A two-week notice is required for all reservations.
• Confirmation email will be sent once payment is received.
• Off-Season parties are limited to one per day, to ensure RVA members have access to RVA facilities 

Host Responsibilities (All Parties)

• The member who secures the rental is responsible for all setup and cleanup.
• The host member is responsible for the conduct of their guests. All RVA rules and regulations apply.
• Party Guests must adhere to the RVA parking rules. The host member is responsible for informing guests of RVA parking rules and ensuring these are followed. Overflow street parking extending beyond the property should be limited to the right side of the street approaching the pool to allow adequate traffic flow and access for emergency vehicles. • Cars parked on the wrong side of the road may be towed.

Special Equipment and Services

• Rentals of any kind, such as Food Trucks, Bouncy Houses, or other entertainment equipment, must be approved separately at the time of reservation.
• Approval for special equipment will be at the discretion of the Pool Manager or RVA Administrator.
• Any such equipment must be properly insured, and proof of insurance may be required.
• Setup and removal of rental equipment must occur within the reserved time period.

Restrictions and Limitations

• Rental fee applies regardless of whether attendees are members or non-members. It applies to reservation of the space for party use.
• RVA cannot accommodate class or grade parties for schools.
• If reserving a party with tickets to be sold as part of a fundraising effort, the member must either pay the reservation fee OR agree to list RVA as the sole sponsor / host of the party.
• The RVA Administrator and Pool Manager reserve the right to approve or deny any party requests.

Cancellation Policy

• Party cancellations must be made 72 hours in advance to receive a refund.
• In the event of inclement weather, a party may be cancelled or rescheduled with a 2-hour notice via email to the RVA Administrator.
• For off-season parties, the same cancellation policy applies.
